1. Associate Director

Summary:

  • Supervise all aspects of business counseling, accounting and tax preparation, in a section of 60 to 120 clients. Some individual tax preparation and special projects work required. Responsible for Office Management activities as assigned by Branch/District Vice President.

Specific Job Duties:

  • Completely responsible for all accounting matters in a section of 60-120 clients.
    • Business Associates
        • Hire, train and supervise Business Associates
        • Monitor production and payroll processing
        • Answer all technical processing and accounting questions
        • Review client reporting
        • Review Flow Sheet and Fee Control Sheet monthly
        • Prepare and review Business Associate salary/incentive monthly
    • Current Clients
  • Monthly contact with clients
  • Review monthly management reports before mailing
  • Monitor and collect accounts receivable balances
  • Handle and resolve questions from clients
    • New Clients
  • Installation of New clients
  • Complete and process back work
  • Set up Chart of Accounts and process two months and then review account with Business Associate
    • Client Drops/Referrals
  • Replace dropped clients through referrals
  • Actively solicit referrals from clients
  • Close sales
    • Additional responsibilities
  • Handle federal, state, and local registrations for clients
  • Prepare Tax Returns
    • Prepare tax returns, both business and personal for clients
  • Maintain control log
  • Send out business and personal questionnaires
  • Process year end statement for each client
  • Assign and coordinate tax preparer, if applicable
  • Quarterly estimate control (business and personal)
  • Review and distribution of final tax returns to clients
    • Client Correspondence
  • Client inquiries
  • Taxing authority inquiries
  • Business and personal tax planning for clients
  • Counsel clients at the level of "numeric" counseling such as break-even analysis, budgeting, lease vs. buy, and business projections
  • Attend weekly meeting with the Branch Manager to review production, accounts receivables, client problems, staff, etc.
  • Handle special projects as assigned
  • Install, train, and support client modules
    • Loan applications
    • Prepare year-end fee review/fee increase for section
  • Other duties as assigned by District or Branch Manager including responsibilities for managing an office or sections of an office.
  • Depending on Business Associate pool, may directly supervise up to three Business Associates and others as assigned by Branch or District Manager.

Education Level & Qualifications:

  • Degree from an accredited three (3) or four (4) year college or university.
  • Must have extensive accounting and/or tax background.
  • A minimum of three (3) years related experience and/or training; or equivalent combination of education and experience .
  • Superior knowledge of Accounting and Office software applications .
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals .
  • Ability to write complex reports and correspondence.
  • Ability to communicate effectively before clients or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Certification, Licenses, Memberships:

  • Chartered Accountant, Certified Public Accountant or Accredited Business Advisor.
  • Must be up-to-date with CPE credits.

2. Office Manager

Summary:
Responsible for leading the day-to-day accounting operations which may include accounts payable and receivable, financial systems, as well as other general accounting functions. Offer all Budgetax product lines and services to clients – tax, payroll, business counseling, accounting and financial reporting, financial services, and others.

Specific Job Duties:

  • Manages financial reporting, office budget and implementation of on-going accounting services.
  • Develops and implements accounting procedures and policies that are in line with the Budgetax office Management Manual.
  • Assists in the preparation of annual corporate budgeting and adjustments.
  • Provides advice, guidance and required information to other departments or clients, regarding client services.
  • Responsible for management, supervision, and developmental guidance of department staff and budget.
  • Trains office staff on Budgetax applications, systems, and manuals including Advantage and Esolutions software.
  • Make sales presentations to prospective clients and bring to successful close.
  • Perform annual fee review of current client base.
  • Establishes and monitors client retention programs.

Education & Qualifications:

  • Degree from an accredited three (3) or four (4) year college or university.
  • Masters Degree in Commerce (MCom) or Business Administration (MBA)
  • Professional certification/licensing at the highest level in one or more disciplines of accounting, tax, or financial services or partial completion of the same
  • A minimum of seven (7) years related experience and/or training; or equivalent combination of education and experience.
  • Significant supervisory or management experience.
  • Superior knowledge of Accounting and Office software applications.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write complex reports and correspondence.
  • Ability to communicate effectively with clients or employees of the organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

  • Must be willing to take the IRS Special Enrollment Examination and pass within 12 months of joining

3. SEASONAL TAX ASSOCIATE

Specific Job Duties:
  • Gather information by interviewing clients and by using copies of previous tax returns, wage statements from employers, year-end interest and dividend summaries. May schedule appointments; explains policies and procedures; retrieves data and materials.
  • Accurately prepare and check tax return forms, schedules and tax returns and/or perform general office duties related thereto.
  • Interview clients about their work, their investments, their expenses, and any unusual or significant events of the previous year, such as a new job, retirement, home improvements, or capital losses or gains. In this way, preparers pick up clues to possible deductions and credits and then follow up with additional questions to obtain the necessary details.
  • Provide clients with an estimate of final tax liability.
  • Perform office duties as required.
  • Assist other staff members in other departments.

Education Level:

  • High School Diploma

Qualifications :

  • One (1) to Three (3) years related experience and/or training; or equivalent combination of education and experience.
  • Basic tax knowledge.
  • Working knowledge of MS Word, and Excel.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

 4. ACCOUNTS ASSOCIATE

Specific Job Duties:

  • Process all monthly accounts in their section in a timely manner
  • Obtain from client required materials such as: duplicate checks, income reporting forms, monthly accounts payable, inventory, and receivable figures.
  • Log in client materials on the Monthly Flow Sheet
  • Maintain depreciation schedules. In addition, monitor and update them for acquisitions.
  • Complete sales tax report and advise client of due date and amount in a timely manner. In addition, handle sales tax letters in a timely manner.
  • Advise clients of payroll tax deposits, due date and amount in a timely manner. In addition handle any payroll tax letters in a timely manner.
  • Complete locally required compliance reports such as personal property tax
  • Process quarterly and annual payroll tax reports
  • Be available to client to answer questions.
  • Advise client of overdraft notice received from client's bank. Handle 50 to 70 accounts, completing all duties described above.

Education Level: 

  • Successful completion of BUDGETAX standard Level 1 NAPB Test.
